Which one are you?

Two sides of the same network.

Practices set the requirements and pay nothing. Representatives pay for access and carry one profile everywhere they go.

For practices & facilities

Know exactly who is in your building, and why.

Set your own requirements, see compliance at a glance, run check-in from the front desk, and pull an audit export when someone asks for one.

  1. Tell us your locations and what you require of vendors
  2. Reps enrol and get verified before they arrive
  3. Your front desk confirms a live photo at check-in
  4. Export the visitor, screening, and lunch records on demand

$380/year

one facility · $580 for multiple · billed annually

For representatives

Get credentialed once. Walk in anywhere in the network.

One compliance profile you carry between facilities, a plain checklist per site, and a reminder before anything expires — instead of re-uploading the same documents everywhere.

  1. Register — creating a company account is free
  2. Upload your documents once
  3. Get reviewed and exclusion-screened
  4. Check in by QR from your own phone
The product

Four things a credentialing database doesn't do.

Conventional systems record who was approved. RepCertify also controls what happens at the door and on the calendar, and can prove it afterwards.

Check-in

No kiosk. No tablet. No app to download.

Reps scan a QR code with their own phone and take a live photo; your front desk confirms it against the registered rep before the door opens. Badge printing is supported, and a printer going offline never blocks a check-in.

  • Nothing to buy and nothing to clean between visits
  • A live face your staff can see, not a badge that can be handed over
Compliance gating

A rep who isn't cleared simply can't book.

The engine that guards the door also guards the calendar. Expired insurance, an unaccepted policy, or an unresolved screening result blocks the lunch request before it ever reaches your staff — and tells the rep exactly what to fix.

  • No one has to chase a rep for a lapsed document
  • Payment alone never marks anyone compliant
Audit readiness

The three exports an auditor asks for, on demand.

An OIG screening log, a HIPAA-conscious visitor log, and a Sunshine-aware lunch roster — generated from an append-only audit trail rather than reconstructed by hand across disconnected systems.

  • Every record written in the same transaction as the event it describes
  • History is superseded, never overwritten
Credential vault

One profile the rep carries between facilities.

Documents are uploaded once, screened against the federal OIG LEIE and SAM.gov lists, and kept current with reminders before anything lapses. Your practice sees a single plain-language status instead of a folder of PDFs.

  • Credential model aligned to ANSI/NEMA SC 1-2020
  • Possible screening matches are always reviewed by a person
Why RepCertify

Enterprise-grade compliance, without the enterprise.

Vendor credentialing was built for hospital systems with a procurement committee and a vendor-management office. Most practices have neither, and get priced out or ignored. Every row below is a description of how the two approaches differ — we don't cite competitor prices or ratings we can't verify.

Who it's built for

Hospital-oriented: Large health systems with a procurement committee and a dedicated vendor-management office.

RepCertify: Independent and multi-site medical practices whose front desk manages rep access between patients.

Who pays

Hospital-oriented: Reps are charged a steep annual per-facility fee to reach the practices they already serve.

RepCertify: Facilities pay nothing. Reps pay a flat, transparent $380/year — $580 to cover multiple organizations.

Front-desk experience

Hospital-oriented: Enterprise dashboards built for analysts — compliance is a report someone has to interpret.

RepCertify: A single plain-language green check your staff can act on the moment a rep checks in.

Identity at the door

Hospital-oriented: A printed badge that can be transferred between people once it's issued.

RepCertify: A live photo captured and confirmed against the registered rep at every visit.

Practices are never charged.

Your practice pays nothing to use RepCertify and receives no share of representative fees. This is stated explicitly because it governs the structure of the arrangement: no revenue is shared with the facility that determines which representatives are granted access.

Questions

What practices ask before they say yes.

Yes, and there is no upsell waiting behind it. Representatives and their companies pay for network access; the facility pays nothing and receives no share of those fees. We state that plainly because it governs the arrangement — no revenue is shared with the practice that decides which reps get in.
No. Reps check in by scanning a QR code with their own phone, and your front desk confirms the live photo against the registered rep. There is no hardware to buy, no shared tablet to clean, and no app for anyone to download. Badge printing is supported if you want it, and a printer being offline never blocks a check-in.
Setup is configuration, not implementation: your locations, the credentials you require, and the policies reps must accept. There is no integration with your EHR or practice-management system, because RepCertify never touches patient data.
The federal OIG LEIE and SAM.gov exclusion lists. Screening fails closed — a rate limit, an outage, or a stale extract produces an "unavailable" result and requeues the rep, never a false all-clear. Possible name matches are always adjudicated by a person; nothing is auto-denied and nothing is auto-confirmed.
Three named exports, generated on demand from an append-only trail rather than assembled by hand: an OIG screening log, a HIPAA-conscious visitor log, and a Sunshine-aware lunch roster.
Patient information of any kind, Social Security and tax identification numbers, and criminal background report contents — we store only a company attestation that a check was performed. These are product constraints enforced in code, not policy promises.

We'll walk through the requirements your practice actually enforces rather than run a generic feature tour — and tell you plainly if RepCertify isn't the right fit.
